{"id":604,"date":"2010-11-04T11:38:11","date_gmt":"2010-11-04T15:38:11","guid":{"rendered":"http:\/\/sites.scranton.edu\/tag\/?p=604"},"modified":"2010-11-04T11:38:11","modified_gmt":"2010-11-04T15:38:11","slug":"campus-email-will-switch-to-microsoft-liveedu","status":"publish","type":"post","link":"https:\/\/sites.scranton.edu\/tag\/2010\/11\/04\/campus-email-will-switch-to-microsoft-liveedu\/","title":{"rendered":"Campus email will switch to Microsoft Live@Edu"},"content":{"rendered":"<p>Here on the TAG site we&#8217;ve already talked about how <a href=\"http:\/\/sites.scranton.edu\/tag\/2010\/10\/19\/uofs-email-is-headed-for-the-cloud\/\" target=\"_blank\">campus email is heading for the cloud<\/a>.\u00a0 Now, finally, thanks to IR, we have the news you&#8217;ve all been waiting to hear: the email system we&#8217;ll be switching to is (drumroll please)&#8230;<\/p>\n<h1><a href=\"http:\/\/www.microsoft.com\/liveatedu\/free-email-accounts.aspx?locale=en-US&amp;country=US\">Microsoft Live@Edu<\/a>.<\/h1>\n<p>There are a lot of details still to be worked out, but here&#8217;s what we know so far.<\/p>\n<p><strong>When is this happening? <\/strong><\/p>\n<ul>\n<li>The target date for campus implementation is <strong>June 2011<\/strong>.<strong><\/strong><\/li>\n<\/ul>\n<p><strong>What&#8217;s changing? <\/strong><\/p>\n<ul>\n<li>ALL campus email (faculty, staff, students) will move to the Microsoft Live@Edu platform.\u00a0 Your email will be stored in the cloud rather than on a campus server (or your local machine).<\/li>\n<li>We&#8217;ll have more storage space for email- everyone gets 10GB instead of 200MB. Wahoo!<\/li>\n<li>Thunderbird will be gone.\u00a0 We&#8217;ll be encouraged just to access email via a web browser, not via a desktop client.<\/li>\n<li>You&#8217;ll keep the same @scranton.edu email address.\u00a0 People emailing you won&#8217;t notice anything different.<\/li>\n<li>Your old email can be migrated into Live@Edu, so you don&#8217;t have to worry about losing anything.\u00a0 Details on migration procedures are still forthcoming.<\/li>\n<li>Oracle CorpTime will be gone (not that many faculty members use it anyway!). Campus calendaring will be integrated with our email.<\/li>\n<li>We&#8217;ll all get 25GB of space on <a href=\"http:\/\/explore.live.com\/windows-live-skydrive\" target=\"_blank\">SkyDrive<\/a>, a cloud storage tool that you can use to access your files from anywhere.\u00a0 But this isn&#8217;t replacing RoyalDrive &#8211; you&#8217;ll still be encouraged to back up your files to RoyalDrive, at least for the time being.<\/li>\n<li>We&#8217;ll get easy access to <a href=\"http:\/\/office.microsoft.com\/en-us\/web-apps\/\" target=\"_blank\">Microsoft Office web apps<\/a> &#8211; so you can do basic editing on Microsoft Word, Excel, and PowerPoint files even if you don&#8217;t have Microsoft Office installed on your home machine.<\/li>\n<li>Mac users will be able to use Live@Edu just like PC users.<\/li>\n<\/ul>\n<p><strong>Why is the University doing this?<\/strong><\/p>\n<ul>\n<li>Our old email system was&#8230; well&#8230; old.<\/li>\n<li>Cloud storage for email is MUCH less expensive than our current, on-campus system &#8211; about 50% less expensive.<\/li>\n<li>Cloud storage is much more robust (and more secure) than storing email on your local hard drive.<\/li>\n<li>Microsoft Live@Edu gives us some extra features that our current email system doesn&#8217;t provide &#8211;\u00a0 collaboration and productivity tools, calendar integration, etc.<\/li>\n<\/ul>\n<p><strong>Why not Google?<\/strong><\/p>\n<p>Google was definitely considered as an option,\u00a0but after much debate, Microsoft Live@Edu was selected as the best enterprise tool that would accommodate the needs of most University users.\u00a0 IR shared with us a few reasons why:<\/p>\n<ul>\n<li>Live@Edu integrates well with the campus&#8217;s existing systems &#8211; we already use a lot of Microsoft tools.<\/li>\n<li>Google is an advertising-based system, and there were some concerns about ads &#8211; both that users would have to see them all the time, and that user email content would be searched and indexed so that ads could be better targeted.<\/li>\n<li>IR wasn&#8217;t comfortable with Google&#8217;s track record on privacy issues.<\/li>\n<li>Google doesn&#8217;t tell users *where* their data is being stored.\u00a0 For the University, it&#8217;s important that data be stored *within* the United States &#8211; especially data containing personally identifiable information.<\/li>\n<\/ul>\n<p><strong>But I like Google!<\/strong><\/p>\n<ul>\n<li>Google fans can still forward their email to Gmail.\u00a0 That said, we have to be a bit careful about this &#8211; the University has to comply with increasingly strict federal laws, like <a href=\"http:\/\/catalog.scranton.edu\/content.php?catoid=6&amp;navoid=109&amp;hl=ferpa&amp;returnto=search\" target=\"_blank\">FERPA<\/a>, that protect personally identifiable information.\u00a0 IR is working with the General Counsel&#8217;s office to get a better feel for exactly what information makes up a student&#8217;s &#8220;educational record.&#8221;\u00a0 We&#8217;ll post more about this as we get more information.<\/li>\n<\/ul>\n<p><strong>How can I find out more? How is this transition going to happen?<\/strong><\/p>\n<ul>\n<li>Transition plans are still being made. Jim Franceschelli is heading the project management team and has promised to keep us up to date &#8211; and we&#8217;ll post information as we get it.<\/li>\n<li>Right now, the best way to find out more is to attend the <strong>IR Forum on Thursday, November 18, from 11:30am-1pm<\/strong>, at which IT Services will introduce Live@Edu to the campus community.\u00a0 You&#8217;ll need to register with <a href=\"mailto:ITServices@scranton.edu\" target=\"_blank\">ITServices@scranton.edu<\/a>.\u00a0 <em>UPDATE: If you missed it, see the <a href=\"http:\/\/matrix.scranton.edu\/pir\/its\/it-forums\/presentations\/IT-Forum-November-2010.ppsx\">slides from the Forum (ppsx)<\/a>.<\/em><\/li>\n<\/ul>\n<p><strong>How is TAG going to be involved?<\/strong><\/p>\n<p>We&#8217;ll be discussing this question at our next meeting! We have a few ideas so far, though:<strong><br \/>\n<\/strong><\/p>\n<ul>\n<li>We&#8217;ll coordinate with IR to help them get faculty prepared for this transition.<\/li>\n<li>Jeremy and I have asked for access to some test accounts early in 2011 so that TAG members can get  a feel for what barriers or significant changes faculty will be facing.<\/li>\n<li>Jeremy and I are thinking of doing some early training for tech-savvy faculty &#8211; maybe in April or May 2011.
