Fall 2017: Classroom Updates

The following rooms received updates to the switching, control and projection technologies:

  • Thomas Hall 410, 413, 414
  • McGurrin Hall 209, 406
  • O’Hara Hall 322
  • Hyland Hall 102
  • Loyola Science Center 090, 091, 439

Academic and Media Services staff worked with faculty in the Engineering Department and mediated room 180 in the Loyola Science Center.

Apple TV’s have been added to LSC 180 and HYL 102 for tetherless teaching.

In conjunction with the classroom updates, we also expanded our lecture capture footprint across campus to the following rooms:

  • McGurrin Hall 009, 012, 013, 014
  • Loyola Science Center 180

Fall 2017: Virtual Desktops

As we expand our virtual desktop program, we are pleased to provide faculty with the ability to utilize a virtual lab. The virtual lab provides access to a wide variety of University software from your own device. Students can utilize their own laptops to access standard applications allowing faculty to create a lab in any room that they are teaching. Two virtual lab offerings are available – Remote Desktop and Remote Apps.

Fall 2017: Windows 10 in Labs and Classrooms

All lab and classroom Windows computers have been updated to Windows 10. In the lab and classroom environment, you will notice a simplified Windows 10 desktop. Shortcuts to browsers and File Explorer are available on the desktop and all programs can be accessed via the Start Menu.

Fall 2017: Computer Updates

The desktop Windows operating system and many third party applications (Firefox, Flash, Java, Adobe Reader, etc.) received security patches over the summer. If you have not used your computer prior to these releases, they will automatically begin to download to your system when you turn it on. As the critical patches are installed, machines may experience a temporary decline in performance. The installations may take a little longer than normal, but they are critical to the health and performance of your machine and the campus network, so we appreciate your patience in taking the necessary time for them to complete.

Many software applications have been upgraded in our computer lab facilities including Matlab, Maple, Mathematica, R for Windows, Crystal Ball and Panopto. In classrooms and lab locations, 91 new systems were installed and 82 other systems received hardware upgrades.

New Service: Event Support with Academic and Media Services

Through the spring and summer, the Academic and Media Services team has been working with the University Facilities Operations, specifically our electricians to transition the support of audio systems across campus. Starting this semester, the Academic and Media Services team will be managing the audio systems at special events. This new service encompasses consultation for special events, sound reinforcement, tuning the system to the venue, interfacing with electricians for power, coordinating with communications for press feeds and engineering the event from start to finish.

This service will be available for all events that were previously requested through the University Electricians and the Physical Plant Work Order System in the my.scranton portal. Examples of these events are masses and religious celebrations, Commencement, Welcome events, Open House, Preview Days, Royal Days, groundbreakings, announcements, dedications and picnics.

Business Process Improvement: EBill/ePayment/Tuition Payment Plans through Nelnet Business Solutions

The Bursar’s Office, in collaboration with the Division of Information Technology, has switched our third party service for our student tuition accounts.

Nelnet Business Solutions eBill, ePayment and Payment Plans provides a secure and convenient way for our students to view their bill, access current account activity, and make payments. In the past, the student would have to login and access their eBill and then forward it to a parent or guardian. This new process allows students to add authorized parties to access their eBill, ePayment and Payment Plan through their own secure login.

Through this product the Bursar’s Office is able to switch to paperless billing and provide our families with on-the-go mobile access with a variety of payments options. The Nelnet Business Solutions portal provides a one stop shop for our students and families to manage their eBill, ePayment, Payment Plan and Student Choice Refund options.

Phishing Attempt Warning

The University of Scranton has been experiencing a number of phishing email messages with links to Dropbox documents. The messages appear to be from “Scranton Mail” with a subject of “Login to view your file”.

The messages may appear to be from people you know. If you are not expecting a file, please do not click on the link or open attachments. If you have clicked on anything that requires a password, and believe that the email is not legitimate, it is always a good idea to reset your Scranton password.

Please report any future phishing attempt to our Network and Security Services office at infosec@scranton.edu.

Royal Drive Replacement Plan

For the past year, the Division of Information Technology has been researching a replacement for Royal Drive, our enterprise file storage system. The goals for a new system were threefold including secure storage, mobile access and content sharing.

The research process included the issuing of an RFI for vendors to respond, demos of each vendor’s product, consulting with Gartner research, and conducting a 2-week pilot of select products by a committee composed of faculty and staff.
Based on the research and our findings, we will be moving forward with using local network storage and Microsoft OneDrive/SharePoint services for staff, and piloting Dropbox for faculty storage. The faculty pilot will include all full-time faculty for a 2-year period with an annual assessment of utilization.

An implementation team is being formed within IT and work will begin shortly. Details regarding the project and its time frame will be forthcoming.

How to Manage Your Phone Greeting

Voicemail allows callers to leave you a message when you are unavailable. With the Alternate Greeting feature, you can have a different outgoing greeting when you will be away for an extended period, such as when you are on vacation, so callers won’t expect to hear back from you right away.

Before calling, decide if you want to turn your alternate greeting on immediately or if you want to tell it an “In Date” and time to turn it on.

To record and activate YOUR Alternate Greeting, follow the items in bold:

  • Dial 2450
  • Enter your ID followed by #  (this is your personal 4 digit voice mail ID)
  • Enter your password followed by # (the pin for your personal mailbox)
  • Press 4 for Set up options
  • Press 1 for greetings
    You will hear “Your current greeting is the standard greeting” (it will play the greeting)
  • Press 2 for alternate Greeting.
    • To set an end date press 1
    • To leave it on indefinitely, press 2
  • You may then choose to re‐record the greeting by pressing 1

When you return you will need to set your voicemail back to the standard greeting. You will not need to re‐record it.

How to Manage Your Departmental Phone Greetings

The following instructions are for the person responsible for maintaining the greeting portion of the Call Handler for the department.

Note: Please contact Technology Support Center at x4357 before changing the greeting if you are changing the options so the callers will be properly routed to match your greeting. The actual routing for the caller must be managed through Network Services Department.

To record and activate your Alternate Greeting for your department, follow the items in bold:

  1. Dial 5445
  2. You will hear “Cisco Unity Connection Greeting Administrator
    Enter your ID followed by # (this is your personal 4 digit voice mail ID so the system can ensure you are the person allowed to change the Call Handler)
  3. Enter your pin followed by # (The pin for your personal mailbox)
  4. Enter the extension of the Call Handler followed by # (the 4 or 5 digit number of the Call Hander you want to change)
  5.  “Callers hear the standard greeting –……” (It will play the greeting that is currently set)
    To turn on your Alternate Greeting press 1
    Change Standard Greeting 2
    Change Busy Greeting 3
    Change Closed Greeting 4
    Change Internal Greeting 5
    Change Alternate Greeting 6
    Change Holiday Greeting 7
    Exit *
  6. To play the Alternate Greeting press 1
    Rerecord your alternate greeting press 2
    Record your greeting after the tone. When you area finished press #
  7. To return to the main menu press *
  8. To turn on your Alternate Greeting Press 1 (Turn on the greeting you just recorded.

You can continue to record by following the instructions until you are satisfied with what you recorded.

Follow instructions from there to exit.

When you need to put the original greeting back in place you will need to turn off the alternate greeting and play the standard greeting.
